For registration, sponsorship, payment processing, and website users
1. Purpose
This Privacy Policy explains how Psychodermatology Association of India (PDAI), the PSYDERMCON 2026 Organizing Committee, and authorized service partners collect, use, store, disclose, and protect personal information in connection with conference registration, sponsorship booking, payment processing, website use, abstract submission, delegate services, and event administration.
2. Information We May Collect
Name, designation, organization, specialty, membership status, student status, address, city, state, country, email address, mobile number, and identity or eligibility information required for registration.
Payment-related details such as transaction ID, payment status, amount, tax details, receipt details, payment mode, and billing information. Card, net banking, UPI PIN, CVV, and sensitive payment credentials are processed by the payment gateway/bank and are not stored by the conference website.
Sponsorship and exhibitor information such as company name, GSTIN, billing address, contact person, stall preferences, branding materials, logo files, and authorized representative details.
Technical data such as IP address, browser type, device information, approximate location, cookies, website usage logs, and referral/source pages.
Conference participation information such as registration ID, badge/QR code, attendance, meal/access preferences, abstract submissions, photographs, video recordings, and communication history.
3. Use of Information
Personal information may be used for registration processing, payment verification, receipt/invoice generation, badge and QR code generation, accommodation coordination, delegate services, sponsorship management, abstract processing, conference communication, website administration, fraud prevention, regulatory compliance, event documentation, and post-event communication.
4. Legal Basis and Consent
By using the website, submitting forms, making payments, or participating in the conference, users consent to collection and processing of information for the purposes stated in this policy. Where applicable, processing may also be based on contract performance, legal obligation, legitimate conference administration interest, and consent.
5. Sharing of Information
Information may be shared with authorized event management partners, payment gateway providers, banks, tax/accounting providers, venue/hotel, badge/printing vendors, communication vendors, IT service providers, statutory authorities, professional advisors, and other parties reasonably required for conference management. Information is not sold for unrelated commercial marketing.
6. Payment Gateway
Online payments are processed through secure third-party payment gateway/banking systems. Users should review the payment gateway provider terms and privacy policy. The conference website may receive only transaction confirmation, status, amount, and related reconciliation information.
7. Data Security
Reasonable administrative, technical, and organizational safeguards are used to protect personal information. However, no online transmission, email, website, or payment system can be guaranteed to be completely secure. Users are responsible for using secure devices and networks while making payments or submitting information.
8. Data Retention
Information may be retained for as long as required for conference administration, accounting, tax, audit, legal, dispute resolution, accreditation, academic records, and legitimate archival purposes. Unnecessary information may be deleted or anonymized when no longer required.
9. User Rights
Users may request correction, update, access, or deletion of personal information, subject to identity verification, legal retention duties, accounting requirements, payment records, and legitimate conference administration needs. Requests may be sent to the official email address.
10. Media and Publicity
Conference photography, video, speaker/session materials, abstracts, award details, sponsor displays, and event coverage may be used for documentation, reporting, educational, promotional, website, and social media purposes.
11. Children and Minors
The conference is intended for professional, academic, sponsor, exhibitor, and adult participants. If information regarding minors is submitted for any reason, the person submitting such information must have lawful authority/consent.
